5. Why We Use Your Data and Our Lawful Basis

B2B Marketing and Industry Communications

We may use professional contact information to communicate with people we reasonably believe may have a professional interest in Neuroplaces, including potential visitors, delegates, exhibitors, sponsors, speakers and other relevant industry participants.

For B2B marketing activities, we may rely on our legitimate interests in promoting and developing Neuroplaces and connecting relevant organisations and professionals within the neuroinclusive design, accessibility, built environment, workplace and related sectors, where those interests are not overridden by the rights and interests of the individual.

Where consent or another legal basis is required by applicable law, we will use that basis.

You can object to direct marketing at any time. Every marketing email we send will provide an appropriate way to unsubscribe, or you can contact us directly at outreach@neuro-places.com.

Event Administration

We process information where necessary to administer registrations, ticketing, attendance, speaker participation, exhibitor and sponsor arrangements, meetings and other event activities.

Depending on the circumstances, this processing may be necessary to perform a contract with you or your organisation, take steps at your request before entering into a contract, or pursue our legitimate business interests.

Business Enquiries and Relationships

We use information to respond to enquiries and manage relationships with exhibitors, sponsors, suppliers, speakers, attendees and other organisations involved with Neuroplaces.

Website Operation

We process appropriate technical and usage information to operate our website securely, understand how it is used and improve the user experience.

Legal and Regulatory Requirements

We may process and retain personal information where necessary to comply with legal, regulatory, accounting or other obligations.

6. How Long We Keep Your Data

As a general guide:

• B2B marketing records: normally up to 3 years from the last meaningful engagement or verification, subject to periodic review

• Event registration and commercial records: normally up to 6 years where required for contractual, accounting or legal purposes

• Website analytics information: according to the retention periods configured within the relevant analytics service

• Suppression records: we may retain limited information for longer where necessary to ensure that an unsubscribe or objection to marketing continues to be honoured

We may delete or anonymise information earlier where it is no longer required.

We do not sell your personal data.

Where necessary, we may share information with trusted service providers and organisations involved in delivering Neuroplaces, including:
